Privacy notice

eConcept Web Solutions Ltd operates e-tender.ie and is the data controller for personal data processed on the platform. Contact: support@e-tender.ie.

What we collect

  • Account data: your email address and sign-in credentials.
  • Business profile data: business name, contact name, contact email, phone, county, CRO number if given, and your notification registration (categories and counties).
  • Tender and bid content: everything a tenderer or bidder enters or uploads — tender details, named contacts, attachments, bids, prices, cover notes, queries and answers.
  • Activity records: an audit log of material actions on each tender (publishing, deadline changes, bids, queries, tags, awards), with timestamps and the acting account.
  • Technical data: standard server logs (IP address, request time) for security and reliability.

Why we process it

  • To run the platform — hosting tenders, delivering bids and queries to the right people, sending the notifications described on each tender (performance of our contract with you).
  • To keep a defensible record of each tender process, which is a core purpose of the platform (legitimate interests of tenderers, bidders and the operator).
  • To secure the platform and prevent misuse (legitimate interests).
  • To analyse activity on an aggregated, non-identifiable basis — for example category demand and price ranges by county (legitimate interests). Published analysis never identifies a person, business, tender or bid.

Who sees what

  • Public tenders show what the tenderer chose to publish. The exact address and contact details are withheld from the public listing by default.
  • A bid is visible to the tenderer and their named collaborators, never to other bidders.
  • Query answers are published to all bidders on the tender; the asker’s identity is not.
  • Processors: the platform runs on Google Cloud (Firebase) in the EU (europe-west1); notification emails are delivered by a transactional email provider. Processors act under contract and GDPR safeguards. We do not sell personal data.

How long we keep it

Completed tenders, bids and their audit logs are retained for 7 years, in line with normal business record-keeping and grant-audit horizons, then deleted or anonymised. Account and business profile data is kept while the account is active.

Your rights

You can ask for access to, correction of, or deletion of your personal data, ask us to restrict or object to processing, and ask for a copy in a portable format. Contact support@e-tender.ie. One limit applies: where a tender was awarded, the other party is entitled to keep its record of that process, so deletion requests are met by anonymising your personal details within the record rather than destroying the record itself. You can complain to the Data Protection Commission (dataprotection.ie) at any time.

Cookies

The platform sets one essential cookie: a session cookie used to keep you signed in. There are no advertising or third-party analytics cookies.
